Charities Executive

(Fresh Graduate Welcome) Support allocation of surplus food donations to the Feeding Hong Kong charity network and help raise awareness and support for Feeding Hong Kong’s mission and vision across the wider community

Job purpose

  • To support the timely offer and allocation of surplus food donations to the Feeding Hong Kong charity network;
  • To assist the Charities Team with the management and development of the Feeding Hong Kong charity network;
  • To enhance internal communication processes to achieve operational excellence;
  • To help raise awareness and support for Feeding Hong Kong’s mission and vision across the wider community.

Key responsibilities

  • Act as a key contact for Feeding Hong Kong’s charity partners and provide day-to-day support for the efficient redistribution of surplus food across our network;
  • Coordinate between the operations team and charity partners to plan and fulfil charity orders and ensure a smooth logistics process;
  • Ensure due diligence procedures are in place, and charity partners comply with the food safety standards and other requirements set out by Feeding Hong Kong;
  • Maintain and update records on all charity partners;
  • Support the annual charity survey and results analysis;
  • Support the development of processes to streamline and improve the redistribution of food donations to charities across Hong Kong; 
  • Monitor, manage and report performance against agreed key performance indicators;
  • Support the planning and execution of programmes and campaigns for the Feeding Hong Kong charity network.

Accountabilities

  • Be accountable and report to the Charities Director of Feeding Hong Kong;
  • Work with volunteers and interns as needed.

Experience, skills and knowledge

General

  • Degree level, 1-2 year experience in social service preferable;
  • Fresh Graduate Welcome.

Experience of:

  • The voluntary/charity sector, either through employment or volunteering;
  • Working in a team environment.

Able to:

  • Establish, develop, and maintain positive working relationships with Feeding Hong Kong’s stakeholders;
  • Communicate effectively in a range of forms, write clearly and concisely, and demonstrate excellent presentation skills;
  • Set priorities, organise and manage a demanding workload and monitor progress of a range of tasks and projects towards achievable objectives;
  • Pay close attention to detail and accuracy;
  • Motivate and organise individuals and groups;
  • Work independently and with diverse groups of people;
  • Be able to negotiate, influence and persuade;
  • Display high level of initiative, problem solving and decision-making skills.

Knowledge of:

  • Issues relating to food waste and food insecurity would be beneficial;
  • Written and spoken Cantonese and English (fluency in both);
  • Microsoft Office.

Food Sourcing Assistant

surplus product to the charities that Feeding Hong Kong supports

Job purpose

  • To support the Food Sourcing Team in working with the food industry to provide a growing volume of surplus product to the charities that Feeding Hong Kong (FHK) supports;
  • To identify and develop new relationships, and strengthen existing relationships with product donors;
  • To Support Food Sourcing team to ensure the smooth flow of product donations from the food industry to our charity network.

Key responsibilities

  • Support key personnel with research relevant that will help the organisation drive success and engage the relevant internal departments;
  • Provide admin support to the Food Sourcing Team including creating presentation decks, posters, reports or other promotional materials;
  • Prepare for meetings with potential partners and be competent in effectively presenting the benefits of working with FHK to potential clients;
  • Provide support in telemarketing, exhibitions, events and FHK site visits.
  • Provide support to the Food Sourcing Team to manage projects with existing or developing key accounts, and provide support and assistance to the development of those partnerships;
  • Coordinate with Operations and Charity team in food donation receiving and ensure a smooth flow of product donations from the food industry to our charity network.

Other

  • Assist with other activities of the organisation as required;
  • Responsible for developing and maintaining databases;

Analyse data and identify opportunities to support reporting improvements.

Accountabilities

  • Be accountable and report to the Food Sourcing Manager;
  • Work with volunteers and interns when needed.

Experience, skills and knowledge
General

  • Written and spoken Chinese (Cantonese) and English (fluency in both);
  • Ideally 1-year work experience in the food retail or wholesale sector (Fresh Graduates also welcome);
  • To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change.

Able to:

  • Establish strong working relationships with Feeding Hong Kong stakeholders;
  • Communicate effectively in a range of forms and demonstrate excellent presentation skills;
  • Set priorities, organise and manage a demanding workload and monitor project progress towards achieving objectives;
  • Enthuse and motivate individuals and groups;
  • Work independently and with diverse groups of people;
  • Drive, influence and negotiate to achieve the desired outcome;
  • Display high level of initiative, problem solving and decision-making;
  • Good numerical and critical thinking skills;
  • Build relationships across the business with a customer service focus.

Knowledge of:

  • Sustainable development and corporate social responsibility;
  • Strong computer skills e.g. Microsoft Office, Canva.

  • Assist with food donation sorting, inspection and data capture
  • Prepare donation reports and analysis
  • Assist with inventory cycle counting and reconciliation
  • Provide admin support to the Food Sourcing Team
  • Support with other ad-hoc projects and analysis as required

Requirements

  • Fluent in Chinese and English
  • Be passionate about the mission of Feeding HK
  • Proficiency in MS Office, particularly Excel
  • Experience using data systems desirable
  • Willing and able to do light lifting and other physical work to support warehouse and delivery operations

Working day

Ideally 1-2 full days a week during term time but can be flexible to fit in with university studies or

2-month full time during summer / 1-month full time during winter break
