Volunteer & Education Assistant Manager

To support the development and lead the successful delivery of Feeding Hong Kong’s (FHK’s) volunteer and education programmes.

Job purpose

  • To support the development and lead the successful delivery of Feeding Hong Kong’s (FHK’s) volunteer and education programmes;
  • To be the face of FHK, being a regular point of contact with volunteers and programme partners;
  • To recruit, support, develop and manage individual and group volunteers;
  • To promote FHK’s volunteer and education programmes, activities and events to community partners.

Key responsibilities

Volunteers

  • Coordinate and develop FHK’s individual and corporate volunteer programmes;
  • Ensure appropriate volunteer capacity and availability to meet all operational needs;
  • Ensure effective organisation, administration, monitoring, evaluation and reporting of each volunteer programme;
  • Promote volunteering both internally and externally;
  • Build and enhance links with sources of volunteers;
  • Ensure a positive and rewarding experience for volunteers so that they become ambassadors for FHK;
  • Ensure policies and procedures are developed and followed, in line with the volunteer programme manual;
  • Liaise closely with the Fundraising and Communications Manager, to develop content for FHK’s social and digital platforms, and to promote and publicise volunteering;
  • Share good practice and establish KPIs and benchmarks to evaluate the volunteer journey, experience and outcomes;
  • Support colleagues in the identification of funding opportunities and the preparation and submission of funding bids to secure funding to support and further develop volunteer programmes.

Education

  • Coordinate and deliver FHK’s educational initiatives, with corporate partners and educational institutions;
  • Schedule and lead workshops, presentations and tours with audiences of all ages;
  • Support the development of new educational resources;
  • Represent FHK at service fairs and educational events.

Other

  • Ensure volunteer and education data is accurately recorded and kept up to date;
  • Assist with other activities of the organisation as required.

Accountabilities

  •  Be accountable for and report to the Fundraising and Communications Manager;
  • Work with interns when needed.

Requirements

General

  • Written and spoken Chinese (Cantonese) and English (fluency in both);
  • At least 5 years work experience in the non-profit sector or education field;
  • To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change.

Experience of:

  • Coordinating and/or managing volunteer programme

  • Establishing and building relationships with external organisations.

Able to:

  • Establish strong working relationships with Feeding Hong Kong stakeholders;
  • Communicate effectively in a range of forms and demonstrate excellent presentation skills;
  • Manage a demanding workload under pressure;
  • Enthuse and motivate individuals and groups;
  • Work independently and with diverse groups of people;
  • Drive, influence and negotiate to achieve the desired outcome;
  • Display high level of initiative, problem solving and decision-making;
  • Deal with and manage change at organisation and team level;

Knowledge of:

  • Safeguarding process, its importance and application;
  • Strong computer skills e.g. Microsoft Office;
  • Basic video editing and design skills a plus.

    Part Time Accounting Assistant

    To support the day-to-day accounting operations of Feeding Hong Kong’s financial resources.

    • To support the day-to-day accounting operations of Feeding Hong Kong’s financial resources;
    • To ensure timely and accurate record keeping and reporting for Feeding Hong Kong.

    Key responsibilities

    • Processing accounts receivable and payable;
    • Checking incoming and outgoing payments for accuracy;
    • Dealing with incoming invoices;
    • Reconciling accounting data to ensure accuracy;
    • Creating and maintaining spreadsheets;
    • Performing basic office tasks like filing, data entry, and mail processing.

      Accountabilities

      • Be accountable and report to the Finance Manager;
      • Supervise volunteers and interns when needed.

      Requirements

      General:

      • Basic accounting knowledge;
      • Strong computer skills in a Microsoft Office environment.

      Experience of:

      • Payable and receivable and general ledger.

      Able to:

      • Work unsupervised and organise a demanding workload;
      • Juggle multiple priorities and to deliver under pressure;
      • Work accurately, paying close attention to detail;
      • Speak and write fluent English and Cantonese.

      Knowledge of:

      • Financial statements, general ledger functions, accounting software user and administration skills.

      Working hours:

      • 2 days a week;
      • 09:00 – 18:00 – one hour lunch break.

        Office and Programme Support Intern

        Join our Programme and Office team to ensure the smooth running of our daily Foodbank operations

        • Provide support for the Food Drives, School events and Food Sorting and Packing Sessions
        • Lead weekly volunteer briefings and tours
        • Translate a variety of materials e.g. newsletters, promotion materials and manuals etc
        • Provide support at Feeding HK events
        • Maintain and enter information into databases
        • Support with other ad-hoc tasks as required

        Requirements

        • Confident communicator in Chinese and English
        • Passionate ambassador for environmental and social issues
        • Strong multi-tasker

        • Experience using design software desirable

        Working day

        Ideally 1-2 full days a week during term time but can be flexible to fit in with university studies or

        Logistics and Supply Chain Intern

        Support our Operations team to ensure the smooth flow of product donations from the food industry to our charity network

        • Assist with food donation sorting, inspection and data capture
        • Prepare donation reports and analysis
        • Assist with inventory cycle counting and reconciliation
        • Provide admin support to the Food Sourcing Team
        • Support with other ad-hoc projects and analysis as required

        Requirements

        • Fluent in Chinese and English
        • Be passionate about the mission of Feeding HK
        • Proficiency in MS Office, particularly Excel
        • Experience using data systems desirable
        • Willing and able to do light lifting and other physical work to support warehouse and delivery operations

        Accounting Intern

        Support our Finance Manager with the day-to-day finance operations

        Requirements

        • Studying towards a bachelor’s degree in finance, accounting, business management or related field
        • Proficiency in MS Office, particularly Excel
        • Experience in using accounting software and Salesforce is desirable

        Support the Fundraising & Communications Manager with marketing activities including developing marketing materials, researching client data, social media outreach, and perform administrative work

        Research Project

        • Report on public campaigns by organisations tackling food waste
        • Include research on fund raised, public engagement, work required to set up, proposals for Feeding Hong Kong

        Social Media

        • Translating into Chinese

        Support with Content Curation

        • Internal photographs and video content
        • External articles and thought pieces

        Administrative work

        • Translate a variety of materials e.g. newsletters, promotion and materials etc
        • Manage incoming calls and ensure phone messages are relayed to appropriate staff member
        • Answer the door and greet all visitors and volunteers to the Feeding Hong Kong office
        • Maintain and enter information into databases

        Support with other ad-hoc tasks as required.

        Requirements

        • Currently studying for or have diploma in BS/BA related to marketing, journalism, communication, media studies, graphic design or related field
        • Experience of supporting the delivery of projects to tight deadlines and budgets
        • Working in a team environment
        • Work unsupervised and organise a demanding workload
        • Juggle multiple priorities and to deliver under pressure
        • Work accurately, paying close attention to detail
        • Strong written and verbal communications skills
        • Good interpersonal and teamwork skills
