Job purpose

  • Direct, manage, and coordinate the operational activities of Feeding Hong Kong (FHK) in support of the goals, objectives, and policies established by the CEO and Board of Directors.
  • Possess a mission-driven, collaborative leadership style and work with the CEO to fulfil the people, process, policy and asset needs of the organisation.
  • Be accountable for establishing a reputation for operational excellence and driving a culture of continuous improvement.
  • Identify and drive change initiatives that improve operations workflow and productivity, and be responsible for the measurement and effectiveness of all internal and external processes.

Key responsibilities

  • Guide and direct Management in all aspects of daily operations to ensure the efficient and effective redistribution of surplus food and optimal service to all partners.
  • Collaborate with the CEO and Management Team to establish and accomplish annual goals and objectives, and strategic plans for the organisation.
  • Offer advice, guidance and direction on all business matters, including operational policies and processes, new initiatives, and the management of stakeholder relationships; support day-to-day problem solving.
  • Ensure that the roles, responsibilities, and accountability of all teams and direct line reports are defined and understood; provide strong, proactive leadership to maintain a positive environment, and inspire and motivate employees.
  • Identify and develop opportunities for improvement through the continuous evaluation of people, processes and technology; recommend changes as necessary to improve operations or enhance partner service.
  • Implement and monitor metrics to measure progress in each area of operations and the impact of change throughout the organisation; systematically report these results to the CEO.
  • Develop and implement procedures and controls to promote communication and facilitate information flow within the organisation.
  • Review and maintain a manual of policies and procedures that will promote operational excellence and guide decision making within the organisation.
  • Ensure all organisation activities and operations are carried out in compliance with local regulations and uphold non-profit best practices.

  • Line management of 3 team heads: Food Sourcing, Operations and Projects, and Charities.
  • Responsible for motivating and supporting the FHK Management Team with the CEO.
  • Work with volunteers and interns when needed.

    Qualifications and Experience

    • A seasoned executive with at least 10 years’ experience establishing operational excellence, with a focus on customer service improvements.
    • Experience in logistics/distribution, and/or supply chain management advantageous. Previous non-profit experience is encouraged.
    • Written and spoken Chinese (Cantonese) and English (fluency in both).
    • A demonstrated ability to lead through growth or transition whilst remaining mission-focused.

      Operations Manager

      Oversee the daily operations of the organisation, ensuring efficient and effective management of resources, logistics, and processes to support the delivery of high-quality food rescue programmes.

      • Ensure all operational targets and objectives are met and regulations, audit and assessment standards are complied with;
      • Work closely with cross-functional teams to develop and implement strategies that optimise operational performance and ensure organisational objectives are met.

      Key responsibilities

      Operations Management:

      • Oversee the day-to-day operations of the organisation, including inventory management, logistics, and transportation, to ensure effective and efficient service delivery;
      • Manage vehicle and manpower deployment for both logistic and warehouse operation;
      • Develop and implement operational plans and procedures to support organisational goals and objectives;
      • Work closely with cross-functional teams to identify and implement process improvements to drive operational excellence;
      • Collaborate with other teams to ensure the effective planning and execution of all food rescue programmes.

      Standard Operating Procedures and Compliance:

      • Develop and maintain comprehensive operations manuals that outline standard operating procedures for all aspects of the organisation’s operations, including logistics, inventory management, and transportation;
      • Ensure compliance with all relevant regulations and standards, including health and safety, food safety, and environmental regulations.

      People Management:

      • Manage and develop a team of operations staff, providing guidance, coaching, and support to ensure they meet performance targets and objectives;
      • Create training materials and conduct training sessions for new operations staff to ensure they are familiar with the organisation’s operations manual and standard operating procedures.

      Supplier and Vendor Management:

      • Develop and manage supplier relationships to ensure reliable and cost-effective supply of goods and services.

      Budget and Performance Management:

      • Monitor and manage budgets, ensuring that operational costs are within approved limits and identifying opportunities for cost savings and efficiencies;
      • Monitor and report on operational performance against key metrics and targets;
      • Conduct regular audits of operational processes and procedures to ensure compliance and identify opportunities for improvement.

      Accountabilities

      • Report to the Operations & Projects Director;
      • Supervise a team of 15, including logistics and warehouse team;
      • Work with volunteers and interns when needed.

      Experience, skills and knowledge

      General:

      • 5-7+ years of experience in logistics / operations management, preferably in the food industry; non-profit experience an advantage;
      • Written and spoken Chinese (Cantonese) and English (fluency in both);
      • To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change;
      • Strong leadership and management skills, with experience managing teams and driving performance;
      • Excellent analytical and problem-solving skills, with the ability to identify and implement process improvements;
      • Strong communication and interpersonal skills, with the ability to build and maintain effective relationships with internal and external stakeholders.

      Experience of:

        Charities Officer

        Act as a key contact for Feeding Hong Kong’s charity partners and provide day-to-day support for the efficient redistribution of surplus food across our network

        Job purpose

        • Focus on the delivery and sustainability of the Feeding Hong Kong (FHK) surplus food programme through maximising relationships and adding value to create the best experience for our charity community;
        • Secure, develop and maintain charity relationships, plus raising awareness of FHK;
        • This role will initially have a focus on strategic relationships with small to medium charities in Hong Kong.

        Key responsibilities

        Establishing and maintaining charity partnerships

        • Act as a key contact for Feeding Hong Kong’s charity partners and provide day-to-day support for the efficient redistribution of surplus food across our network;
        • Coordinate closely between operations team and charity partners to plan and fulfil charity orders and ensure a smooth logistics process;
        • Through a face-to-face approach to create brilliant, aligned and open relationships with strategic charity partners;
        • Ensure effective communications between FHK and the growing charity base;
        • Carry out regular visits to charities and be responsible for ensuring that KPIs are reached and maintained;
        • Sensitively deal with any issues in a professional manner, as and when they arise;
        • Under the guidance of the Charities Director, to identify where re-engagement activities are needed to improve charity satisfaction and charity compliance;
        • Responsible for undertaking annual food safety checks within the agreed timeframe;
        • Responsible for undertaking the annual survey.

        Community Capacity Building

        • Analyse the charity needs together with the knowledge of available surplus food, to maximise the offer to charities;
        • Seek opportunities to enable and empower charities to increase their capacity and ability to take more food, more often.

        Experience, skills and knowledge

        General

        • Written and spoken Cantonese and English (fluency in both);
        • At least 2-3 years work experience in the non-profit sector;
        • To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change.

        Experience of:

        • Establishing and maintaining partnerships and relationships to create and deliver shared best practices;
        • Managing expectations with internal and external stakeholders;

        Able to:

        • Establish strong working relationships with Feeding Hong Kong stakeholders;
        • Communicate effectively in a range of forms and demonstrate excellent presentation skills;

        Community Engagement Support Intern

        Support our Community Enagement team to ensure the smooth running of our volunteer and education activities

        Duties

        • Provide support for the food drives, school events, volunteers activities and other community campagins;
        • Lead volunteer briefings and tours;
        • Translate a variety of materials e.g. newsletters, promotion materials and manuals etc;
        • Manage incoming calls and ensure phone messages are relayed to appropriate staff member;
        • Answer the door and greet all visitors and volunteers to the Feeding Hong Kong office;
        • Maintain and enter information into databases;
        • Support with other ad-hoc tasks as required.

        Requirements

        • Confident communicator in Chinese and English;
        • Passionate ambassador for environmental and social issues
          Strong multi-tasker;
        • Proficiency in MS Office;
        • Experience using design software desirable.

        Working day

        Ideally 1-2 full days a week during term time but can be flexible to fit in with university studies or

        2-month full time during summer / 1-month full time during winter break.

        All internships are are voluntary and unpaid positions.
