Charities Officer

We are seeking a Charities Officer who is passionate about our mission in saving and redistributing surplus food to join our team and help support our 140 charity partners

Job purpose

  • To support the timely offer and allocation of surplus food donations to the Feeding Hong Kong charity network
  • To assist the Charities Director with the management and development of the Feeding Hong Kong charity network
  • To enhance internal communication processes to achieve operational excellence
  • To help raise awareness and support for Feeding Hong Kong’s mission and vision across the wider community

Duties

  • Act as a key contact for Feeding Hong Kong’s charity partners and provide day-to-day support for the efficient redistribution of surplus food across our network
  • Coordinate between the operations team and charity partners to plan and fulfil charity orders and ensure a smooth logistics process
  • Ensure due diligence procedures are in place, and charity partners comply with the food safety standards and other requirements set out by Feeding Hong Kong
  • Maintain and update records on all charity partners
  • Support the annual charity survey and results analysis
  • Support the development of processes to streamline and improve the redistribution of food donations to charities across Hong Kong
  • Monitor, manage and report performance against agreed key performance indicators
  • Support the planning and execution of programmes and campaigns for the Feeding Hong Kong charity network

Accountabilities

  • Be accountable and report to the Charities Director of Feeding Hong Kong
  • Report indirectly to the Operations Manager regarding charity orders
  • Work with volunteers and interns as needed

Requirements

  • Degree level or equivalent standard of experience
  • The voluntary/charity sector, either through employment or volunteering
  • Project and/or programme management
  • Supporting the delivery of projects to tight deadlines and budgets
  • Working in a team environment
  • Establish, develop, and maintain positive working relationships with Feeding Hong Kong’s stakeholders
  • Communicate effectively in a range of forms, write clearly and concisely, and demonstrate excellent presentation skills
  • Set priorities, organise and manage a demanding workload and monitor progress of a range of tasks and projects towards achievable objectives
  • Pay close attention to detail and accuracy
  • Motivate and organise individuals and groups
  • Work independently and with diverse groups of people
  • Be able to negotiate, influence and persuade
  • Display high level of initiative, problem solving and decision-making skills
  • Knowledge of issues relating to food waste and food insecurity would be beneficial
  • Written and spoken Cantonese and English (fluency in both)
  • Microsoft Office
  • CRM systems desirable

  • Lead weekly volunteer briefings and tours

Logistics and Operations Intern

Support our Operations team to ensure the smooth flow of product donations from the food industry to our charity network

  • Support our Operations team to ensure the smooth flow of product donations from the food industry to our charity network
  • Assist with food donation sorting, inspection and data capture
  • Prepare donation reports and analysis
  • Assist with inventory cycle counting and reconciliation
  • Provide admin support to the Feeding HK charity network
  • Support with other ad-hoc projects and analysis as required

Requirements

  • Fluent in Chinese and English
  • Be passionate about the mission of Feeding HK
  • Proficiency in MS Office, particularly Excel
  • Experience using data systems desirable
  • Willing and able to do light lifting and other physical work to support warehouse and delivery operations

Working day

Ideally 1-2 full days a week but can be flexible to fit in with university studies

Accounting Intern

Support our Finance Manager with the day-to-day finance operations

  • Coding and data input into accounting software of invoices and expenses
  • Maintain filing of financial documents
  • Assist with month end close eg reconciliations, reporting, journal entries
  • Support with other ad-hoc tasks as required

Requirements

  • Studying towards a bachelor’s degree in finance, accounting, business management or related field
  • Proficiency in MS Office, particularly Excel
  • Experience in using accounting software and Salesforce is desirable
  • Previous accounting experience is desirable
  • Good communication and interpersonal skills
  • Good command of spoken and written English
  • Interest in working in a NFP organisation
  • Work accurately, paying close attention to detail
  • Take ownership and work unsupervised
