Operations Director (FHK-OD-YT-20)

Job purpose

  • To provide strategic leadership to the surplus food collection, warehouse and redistribution operations of Feeding Hong Kong (FHK)
  • Be responsible for Operations team, warehouse, inventory management, transportation, health and safety, and building maintenance and repair
  • Enforce an appropriate level of food handling standards to enhance FHK’s reputation and to increase surplus food donation
  • Be the face of Feeding Hong Kong (FHK) and ensure effective and continuing relationships with donors, charities and volunteers

Key responsibilities

Redistribution operations and processes

  • Continually improve the overall warehouse, delivery and collection management processes, operational approach and other developing FHK services and channels
  • Develop engaging tools, materials and information architecture for the FHK team and volunteers
  • Ensure excellent delivery service for donors and charities, in partnership with the Food Sourcing Team, Charities Team and Project Director
  • Support the Project Director on the development and roll out of initiatives that complement the core food redistribution work

Food safety and assurance

  • Ensure internal and external checks and audits are in place to provide donors the confidence to trust FHK with their products and brands
  • Operate a fit for purpose traceability process and product recall protocol
  • Ensure an effective programme of internal and external auditing, monitoring and recording for food handling, and health and safety in place
  • Ensure a health and safety culture with the right training and facilities to protect our team, volunteers and visitors to the warehouse

Team management

  • Strong leadership- to motivate and develop people to deliver performance with a positive approach
  • Coach and support the team with clear, defined and manageable targets and boundaries
  • Contribute to the strategic development and performance of the wider FHK Team

Other

  • Assist with other activities of the organisation as required

Accountabilities

  • Be accountable for the Operations Team and report to the Chief Executive Officer
  • Work with volunteers and interns when needed

Experience, skills and knowledge

General

  • Written and spoken Chinese (Cantonese) and English (fluency in both)
  • Solid work experience in the food retail or wholesale operations
  • To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change

Experience of

  • Operations management
  • Project management
  • Working with senior executives
  • Managing expectations with internal and external stakeholders
  • Leading the development, communication and successful delivery of a strategy
  • Developing operational working practices in a retail or wholesale environment
  • Improving food safety and health and safety practices

Able to

  • Establish strong working relationships with Feeding Hong Kong stakeholders
  • Communicate effectively in a range of forms and demonstrate excellent presentation skills
  • Set priorities, organise and manage a demanding workload and monitor project progress towards achieving objectives
  • Motivate, manage and organise individuals and groups
  • Work independently and with diverse groups of people
  • Drive, influence and negotiate to achieve the desired outcome
  • Display high level of initiative, problem solving and decision-making

Knowledge of

  • Financial management

  • Assist with admin and programme support for the Bread Run, student ‘Meet & Greets’ and Santa Sack campaign
  • Lead weekly volunteer briefings and tours

Requirements

Logistics and Operations Intern

Support our Operations team to ensure the smooth flow of product donations from the food industry to our charity network

  • Assist with food donation sorting, inspection and data capture
  • Prepare donation reports and analysis
  • Assist with inventory cycle counting and reconciliation
  • Provide admin support to the Feeding HK charity network
  • Support with other ad-hoc projects and analysis as required

Requirements

  • Fluent in Chinese and English
  • Be passionate about the mission of Feeding HK
  • Proficiency in MS Office, particularly Excel
  • Experience using data systems desirable
  • Willing and able to do light lifting and other physical work to support warehouse and delivery operations

Accounting Intern

Support our Finance Manager with the day-to-day finance operations

  • Coding and data input into accounting software of invoices and expenses
  • Maintain filing of financial documents
  • Assist with month end close eg reconciliations, reporting, journal entries
  • Support with other ad-hoc tasks as required

Requirements

  • Studying towards a bachelor’s degree in finance, accounting, business management or related field
  • Proficiency in MS Office, particularly Excel
  • Experience in using accounting software and Salesforce is desirable
  • Previous accounting experience is desirable
  • Good communication and interpersonal skills
  • Good command of spoken and written English
  • Interest in working in a NFP organisation
  • Work accurately, paying close attention to detail
  • Take ownership and work unsupervised
