Finance Manager
To oversee all finance, accounting and reporting activities of Feeding Hong Kong
Learn more
- To oversee all finance, accounting and reporting activities of Feeding Hong Kong (FHK);
- To lead the day-to-day finance operations including accounts payable, accounts receivable, payroll, fixed assets management, month-end accounts reporting and grants administration;
- To ensure systems and procedures are in place to support effective programme implementation and conduct audits;
- To partner with senior leadership to enhance and better integrate finance and IT functions.
Key responsibilities
- Manage all accounts, ledgers and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements;
- Maintain internal control and safeguards for receipt of revenue, costs and programme budgets and actual expenditures;
- Coordinate all audit activities and ensure records are compliant with requirements;
- Analyse financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes and keep senior leadership abreast of Feeding Hong Kong’s financial status;
- Assist the Chief Executive Officer in the annual budgeting and planning process; administer and review all financial plans and compare to actual results with a view to identify, explain, and correct variances as appropriate;
- Oversee all financial, project/programme and grants accounting, and ensure that expenditures are consistently aligned with grant and programme budgets throughout the grant/fund period; collate financial reporting materials for government, corporate, and foundation grants;
- Refine and update the financial policies and procedures manual;
- Additional controller duties as necessary.

- Accountabilities
- Be accountable and report to the Chief Executive Officer;
- Supervise Accounting Assistants and interns.
- Bachelor degree in finance, accounting, business management or related field; CPA or CMA preferred;
- Strong computer skills in a Microsoft Office environment.
- Candidate with less experience will be considered as assistant manager.
- Coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investments;
- Developing or improving financial management systems;
- Grants management as it relates to compliance and reporting of government, corporate and foundation grants.
- Work unsupervised and organise a demanding workload;
- Juggle multiple priorities and to deliver under pressure;
- Work accurately, paying close attention to detail;
- Effectively analyse and communicate key data to senior management, the board of directors and other partners;
- Speak and write fluent English and Chinese (Cantonese).
Knowledge of:
- Accounting and reporting software, notably Xero and Salesforce.
Charities Assistant Manager
To Secure, develop and maintain charity relationships, plus raising awareness of FHK and expand the charity network and match supply and demand across the network as much as possible.

- Assist Charities Director to develop, monitor and review consistently the operational processes and communications between charity partners and FHK;
- To establish and develop new partnerships and engage community networks.
Establishing and maintaining charity partnerships
- Through a face-to-face approach to create brilliant, aligned and open relationships with strategic charity partners;
- Ensure effective communications between FHK and the growing charity base;
- Carry out regular visits to charities and be responsible for ensuring that KPIs are reached and maintained;
- Sensitively deal with any issues in a professional manner, as and when they arise;
- Identify where re-engagement activities are needed to improve charity satisfaction and charity compliance;
- Identify, grow and evaluate new channels and markets to redistribute surplus food;
- Take an active role in leading community events and networking activities, supported by the wider team and volunteers;
- Ensure charity partners comply with the food safety standards set out by FHK;
- Responsible for undertaking the annual survey;
- Refine and update the Charities service policies and procedures manual.
Developing appropriate and consistent operational processes
- Work across teams to develop and continuously improve the operational protocol;
- Develop and deliver FHK’s charity programmes within agreed budgets and to agreed timescales;
- Support the Communications team with regular content to promote FHK.
Community Capacity Building
- Analyse the charity needs together with the knowledge of available surplus food, to maximise the offer to charities;
- Seek opportunities to enable and empower charities to increase their capacity and ability to take more food, more often;
- Work with strategic partners to extend FHK’s charity network in areas of need.
Supervisory
- Strong leadership to motivate and supervise interns / junior staff;
- Accomplishe interns / Junior staff results by communicating job expectations; planning, monitoring, and appraising job results.
Other
- Assist with other activities of the organisation as required.
- Responsible to ensure data in the system is accurate and up to date
Accountabilities
- Be accountable of and report to the Charities Director;
- Work with volunteers and interns when needed.
Experience, skills and knowledge
General
- Written and spoken Cantonese and English (fluency in both);
- At least 5 years work experience in the non-profit sector;
- To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change.
Experience of:
- Establishing and maintaining partnerships and relationships to create and deliver shared best practices;
- Managing expectations with internal and external stakeholders.
Able to:
- Establish strong working relationships with Feeding Hong Kong stakeholders;
- Communicate effectively in a range of forms and demonstrate excellent presentation skills;
- Set priorities, organise and manage a demanding workload and monitor project progress towards achieving objectives;
- Motivate, manage and organise individuals and groups;
- Work independently and with diverse groups of people;
- Drive, influence and negotiate to achieve the desired outcome;
- Display high level of initiative, problem solving and decision-making;

Operations Assistant
To assist in daily warehouse operations and assist with charity deliveries.

- Responsible for sorting, storing and recording the surplus food that gets donated to Feeding Hong Kong (FHK);
- Responsible for assembling the deliveries of food for charities and community groups;
- To be the face of FHK, being a regular point of contact with our donors, as well as our growing charity base collecting food from warehouse;
- Act as a host for volunteers who may join as warehouse assistants;
- To keep the warehouse and packing areas clean and tidy;
- Consistently follow the health & safety, and food safety standards protocols to ensure the safe collection and delivery of surplus;
- If required to drive the FHK vehicle- collect surplus food from the donors as well as deliver surplus to the charity partners.
Key responsibilities
Redistribution operations and processes
- Wear neat uniform, ready to meet our donors and charities when collecting or delivering food;
- Understand the schedule and stock rotation that has been assigned on the day;
- Sort and unpack deliveries of surplus food (ambient, chilled and/or frozen) safely and efficiently;
- Move stock by manual operation of pallet trucks, cages and wheel sets;
- Pick and pack charity deliveries correctly;
- Maintain excellent relations and communications with volunteers, staff, donors and charities;
- Provide great customer service to those charities coming to collect deliveries;
- Assisting with stocktaking;
- Ensure that surplus food donations and orders are processed appropriately and that all information is input into Salesforce;
- Perform general housekeeping duties in the warehouse and packing area;
- Support with other duties as required to ensure no good food goes to waste.
Health & Safety
- Ensure compliance with all FHK policies and procedures and industry standards as required by food donors and regulators.
Driving the FHK vehicle (if applicable)
- Take good care of the food being collected or delivered;
- Drive safely, responsibly, promptly and to schedule;
- Be courteous to all road users;
- Report any incidents that may affect the vans’ roadworthiness;
- Document and log kilometres spent driving and work rest periods, and retain fuel and toll receipts.
Other
- Assist with other activities of the organisation as required.
Accountabilities

- Valid driver’s license (Full Driving License no. 1 and 2) (if applicable);
- Safe and courteous driver (if applicable).

- Working on own initiative, able to manage own workload and prioritise tasks to meet objectives;

Community Engagement Support Intern
Support our Community Enagement team to ensure the smooth running of our volunteer and education activities

Duties
- Provide support for the food drives, school events, volunteers activities and other community campagins;
- Lead volunteer briefings and tours;
- Translate a variety of materials e.g. newsletters, promotion materials and manuals etc;
- Manage incoming calls and ensure phone messages are relayed to appropriate staff member;
- Answer the door and greet all visitors and volunteers to the Feeding Hong Kong office;
- Maintain and enter information into databases;
- Support with other ad-hoc tasks as required.
Requirements
- Confident communicator in Chinese and English;
- Passionate ambassador for environmental and social issues
Strong multi-tasker; - Proficiency in MS Office;
- Experience using design software desirable.
Working day
Ideally 1-2 full days a week during term time but can be flexible to fit in with university studies or
2-month full time during summer / 1-month full time during winter break.
