HR & Administration Manager

Job purpose

  • To drive and support the HR strategy and operational functions of Feeding Hong Kong (FHK), ensuring smooth and compliant HR processes.
  • To partner closely with the CEO, the Senior Management Team and other key stakeholders to align HR activities with organizational goals and foster a positive, mission-driven workplace culture.
  • To manage and guide an Administrative and System Officer to ensure efficient operational support to the whole team through supporting all manner of administrative tasks and requests related to general queries, processes, systems, policies and general HR administration, escalating enquiries to the CEO where necessary.

Key responsibilities

  • Recruitment & Onboarding: Drive end-to-end recruitment, oversee onboarding, and ensure smooth offboarding processes.
  • Compensation & Benefits: Manage salary benchmarking, annual reviews, and administer benefits programmes.
  • Payroll & Salary Tax: Ensure accurate payroll, MPF contributions, and tax filings.
  • Training & Development: Identify skill gaps, coordinate training, and lead performance appraisals.
  • Employee Engagement: Organise team-building activities, support grievance handling, and promote open communication.
  • HR Policies & Budget: Develop HR policies, ensure compliance with labour laws, and manage departmental budgets.
  • Internship & Office Administration: Oversee internship programmes and manage office resources, procurement, and vendor relationships.

Requirements

  • Fluent written and spoken Chinese (Cantonese) and English.
  • Communicate effectively in a range of forms and demonstrate excellent presentation skills.
  • A minimum of 10 years of relevant work experience.
  • Experience of Human resources management practices and procedures, and office management responsibilities, systems and procedures.
  • Solid understanding of Hong Kong Labour laws, HR best practices and industry trends.
  • Work independently and with diverse groups of people.
  • Strong computer skills e.g. Microsoft Office.

      Marketing & Communications Officer

      Duties

      • Support Feeding Hong Kong to enhance our communications and strengthen our public presence.
      • Coordinate and support our marketing initiatives, social media engagement and events to amplify our mission to save food and deliver food security in Hong Kong.
      • Support our fundraising efforts, including fostering relationships with our valued donors and partners.

      Key responsibilities

      • Communications & Marketing: Create and distribute content across social media, newsletters, and our website; support media outreach; assist with translations; and prepare promotional materials for campaigns and events.
      • Event Support: Help organise and coordinate food drives, talks, booths, and festive campaigns; provide on-site support to ensure smooth execution; and collaborate with partners and volunteers to maximise impact.
      • Partnerships & Fundraising: Assist with grants, campaigns, and donor engagement; prepare proposals, presentations, and reports; maintain accurate records of donor and partner activities; and track grant deadlines and deliverables.

      Requirements

      • Bachelor’s degree in Communications, Marketing, Nonprofit Management or a related field.
      • Speak and write fluent English and Cantonese.
      • Minimum 2 years of experience in communications, fundraising or partner management preferred.
      • Proficiency in social media platforms and content creation.
      • Experience using CRM and CMS platforms; knowledge of Salesforce and Canva a plus.
      • High level of expertise with MS Office (Word, Excel, PowerPoint).
      • Flexible to work evenings and weekends as needed.

      Community Engagement Support Intern

      Support our Community Engagement team to ensure the smooth running of our volunteer and education activities

      Duties

      • Provide support for the food drives, school events, volunteers activities and other community campagins;
      • Lead volunteer briefings and tours;
      • Translate a variety of materials e.g. newsletters, promotion materials and manuals etc;
      • Manage incoming calls and ensure phone messages are relayed to appropriate staff member;
      • Answer the door and greet all visitors and volunteers to the Feeding Hong Kong office;
      • Maintain and enter information into databases;
      • Support with other ad-hoc tasks as required.

      Requirements

      • Confident communicator in Chinese and English;
      • Passionate ambassador for environmental and social issues
        Strong multi-tasker;
      • Proficiency in MS Office;
      • Experience using design software desirable.

      Working day

      Ideally 1-2 full days a week during term time but can be flexible to fit in with university studies or

      2-month full time during summer / 1-month full time during winter break.

      Food Sourcing Intern

      Support our Food Sourcing team to develop and expand our food donor network

      Duties

      • Provide admin support to the Food Sourcing Team;
      • Approach new food donors and prepare pitching materials;
      • Assist in food donation reports and analysis;
      • Provide support in food industry research;
      • Support retail surplus collections;
      • Assist in food exhibitions or events if necessary;
      • Support with other ad-hoc projects as required.

      Requirements

      • Open to undergraduate student who is passionate about environmental and social issues;
      • Pay close attention to detail and accuracy;
      • Good interpersonal and teamwork skills;
      • Interact with a range of different people, confidently and pleasantly.
      • Work independently with little supervision;
      • Proficient in MS Excel, PowerPoint, and MS Word.

      Working day

      • Ideally 2-3 full days a week during term time but can be flexible to fit in with university studies or
      • 2-month full time during summer / 1-month full time during winter break

      All internships are voluntary and unpaid positions.
