Charities Assistant Manager

Focus on the delivery and sustainability of our surplus food programme through maximising relationships with charities.

Job purpose

  • Focus on the delivery and sustainability of the Feeding Hong Kong (FHK) surplus food programme;

  • Secure, develop and maintain charity relationships, plus raising awareness of FHK;

  • Expand the charity network and match supply and demand across the network as much as possible;

  • Assist Charities Director to develop, monitor and review consistently the operational processes and communications between charity partners and FHK;

  • To establish and develop new partnerships and engage community networks.

Key responsibilities

Establishing and maintaining charity partnerships

  • Ensure effective communications between FHK and the growing charity base;

  • Carry out regular visits to charities and be responsible for ensuring that KPIs are reached and maintained;

  • Sensitively deal with any issues in a professional manner, as and when they arise;

  • Identify where re-engagement activities are needed to improve charity satisfaction and charity compliance;

  • Identify, grow and evaluate new channels and markets to redistribute surplus food;

  • Ensure charity partners comply with the food safety standards set out by FHK;

  • Responsible for undertaking the annual survey;

  • Refine and update the Charities service policies and procedures manual.

Developing appropriate and consistent operational processes

  • Work across teams to develop and continuously improve the operational protocol;

  • Develop and deliver FHK’s charity programmes within agreed budgets and to agreed timescales;

Community Capacity Building

  • Analyse the charity needs together with the knowledge of available surplus food, to maximise the offer to charities;

  • Seek opportunities to enable and empower charities to increase their capacity and ability to take more food, more often;

  • Work with strategic partners to extend FHK’s charity network in areas of need.

Other

  • Assist with other activities of the organisation as required

  • Responsible to ensure data in the system is accurate and up to date

Accountabilities

  • Be accountable of and report to the Charities Director;

Experience, skills and knowledge

General

  • Fluent in written and spoken English and Cantonese;

  • At least 3-4 years work experience in the non-profit sector (Individuals with a commercial background who also possess a strong passion for the charity sector are also welcomed);

  • To be fully committed to the mission of FHK to reduce food waste, feed charities and drive change.

Experience of:

  • Establishing and maintaining partnerships and relationships to create and deliver shared best practices;

  • Managing expectations with internal and external stakeholders.

Able to:

  • Establish strong working relationships with Feeding Hong Kong stakeholders;

  • Display high level of initiative, problem solving and decision-making;

  • Communicate effectively in a range of forms and demonstrate excellent presentation skills;

  • Set priorities, organise and manage a demanding workload and monitor project progress towards achieving objectives;

  • Work independently and with diverse groups of people;

  • Drive, influence and negotiate to achieve the desired outcome;

  • Be confident and assertive in handling difficult situations, whilst demonstrating calmness and professionalism

Knowledge of:

  • The non-profit sector;

  • Strong computer skills e.g. Microsoft Office.

Community Engagement Support Intern

Support our Community Engagement team to ensure the smooth running of our volunteer and education activities

Duties

  • Provide support for the food drives, school events, volunteers activities and other community campagins;
  • Lead volunteer briefings and tours;
  • Translate a variety of materials e.g. newsletters, promotion materials and manuals etc;
  • Manage incoming calls and ensure phone messages are relayed to appropriate staff member;
  • Answer the door and greet all visitors and volunteers to the Feeding Hong Kong office;
  • Maintain and enter information into databases;
  • Support with other ad-hoc tasks as required.

Requirements

  • Confident communicator in Chinese and English;
  • Passionate ambassador for environmental and social issues
    Strong multi-tasker;
  • Proficiency in MS Office;
  • Experience using design software desirable.

Working day

Ideally 1-2 full days a week during term time but can be flexible to fit in with university studies or

2-month full time during summer / 1-month full time during winter break.

Food Sourcing Intern

Support our Food Sourcing team to develop and expand our food donor network

Duties

  • Provide admin support to the Food Sourcing Team;
  • Approach new food donors and prepare pitching materials;
  • Assist in food donation reports and analysis;
  • Provide support in food industry research;
  • Support retail surplus collections;
  • Assist in food exhibitions or events if necessary;
  • Support with other ad-hoc projects as required.

Requirements

  • Open to undergraduate student who is passionate about environmental and social issues;
  • Pay close attention to detail and accuracy;
  • Good interpersonal and teamwork skills;
  • Interact with a range of different people, confidently and pleasantly.
  • Work independently with little supervision;
  • Proficient in MS Excel, PowerPoint, and MS Word.

Working day

  • Ideally 2-3 full days a week during term time but can be flexible to fit in with university studies or
  • 2-month full time during summer / 1-month full time during winter break.

All internships are voluntary and unpaid positions.
